2024 Sponsor Quick Links and Onboarding

• Please register your attendees’ passes for the conference using the code sent to you by Melissa Scheiderer ([email protected]).
• Please complete this required online exhibitor form by 9/10/24 for your booth in our exhibition hall. Booths placement is first-come-first-served. Booth sizes for each sponsorship level are listed below:
  • Gold and Platinum level sponsors can pick their preferred booth location, and have access to a set of reserved booth locations. Please see this expo hall diagram, and email Melissa Scheiderer ([email protected]) with your preferred booth. If you’d like to stay in the same booth location as you had last year (2023), go ahead and let Melissa know.
  • Silver-level sponsors can opt to add a “choose your own booth” upgrade on the Exhibitor Form
• Please book your attendees’ hotel rooms at the discounted conference rate before 9/30 so you can save $. 
• Get your Exhibitor profile set up on the Whova web app (2024 link will be sent in mid-September).
• Do you plan to give away promotional items at your booth? If so, here are the Swag Giveaway Guidelines.

• Your ad in the digital program book must be submitted by 10/04/24 using the following specs:
  
  • No bleed.
  • Flattened PDF or JPG that’s at least 300 dpi.
  • Full – 8.25″w x 10.75″h (Headline sponsor)
  • Half Horizontal orientation – 8.25″w X 5.25″h (Platinum sponsors)
  • Quarter vertical orientation – 4″w x 5.25″h (Gold sponsors)
  • 1/8 page vertical orientation – 2.5″h x 4″w (Silver sponsors)

Logo and Organizational Details

These should have been included in your sponsorship application, but if you were unable to provide them at that time, please send to [email protected])

• A high-resolution logo (.EPS preferred, 72-300dpi and 600 px .JPG or .PNG will also work.) If available, please send a full color and a single color version as well as multiple orientations if you have them
• A short description of your organization (50 words or less)
• How you’d like your organization name listed in promotional materials
• Email addresses and names of anyone else at your organization you’d like copied on emails related to the Conference, if applicable. (E.g. an assistant, colleagues who need to be in the loop, etc.)

Banner Info (for Platinum and Breakout Sponsors)

• Platinum sponsors have the option to hang a vinyl banner in the breakout room for your sponsored track, and Breakout Sponsors have the option to hang a vinyl banner in the room for their breakout. Here are the guidelines:
  
  • Banner can be no larger than 4’H x 4’W
